Clarity in Change: A Template for Communicating Shifts in School Protocols
Jun 12, 2025
Change is a constant in education, whether it's refining instructional strategies, updating safety protocols, or introducing new systems for student support. As school leaders and changemakers, we know that how we communicate those changes is just as important as the changes themselves.
That’s why we’ve created a Staff Communication Template for Change of Protocol or Expectations, a resource designed to help leaders craft clear, consistent, and supportive messaging for staff when introducing new practices.
This template ensures that all critical elements of the change are communicated effectively, allowing staff to understand not just the "what," but also the "why" and the "how." When used intentionally, it can help reduce confusion, streamline implementation, and build buy-in from those who are asked to carry the work forward.
Here’s what the template includes:
📌 Why Educators Are Receiving the Communication
Start with the purpose. Use data where possible and always connect back to your school or district's mission. This section grounds the change in shared values and the bigger picture.
📚 Background Information
Clarify who is impacted, what the current state is, and how this change came to be. Share the research and data behind the decision and describe how the shift is expected to improve outcomes.
🎯 The Ask
Be specific. What exactly are staff being asked to do differently? This is the heart of the communication and where clarity matters most. Include real examples to avoid varied interpretations.
🧰 Resources for Implementation
Support staff with ready-to-use tools, templates, and links to help them implement the change with confidence.
🤝 Support and Follow-up Protocol
Detail the role of leadership in supporting this shift. What should staff expect in terms of follow-up, accountability, and feedback? Set a timeline and offer clear points of contact for questions and support.
Whether you’re rolling out a new behavioral expectation framework, adjusting academic protocols, or introducing a new planning tool, this template offers a structured way to lead with clarity, transparency, and care.
Change doesn’t have to be chaotic. With the right communication strategy, it can be collaborative and empowering.
